Restaurant email marketing has a bad reputation, and it's mostly earned. Most restaurants that email guests at all send the same blanket promotion to everyone on the list — a discount code, a seasonal menu announcement, sent on the same schedule regardless of who's receiving it. Open rates are low because the emails aren't really about the guest receiving them.
There's a different approach: automated guest emails triggered by something specific about that guest's actual relationship with the restaurant, rather than a calendar.
The difference between a blast and a trigger
A marketing blast asks: "What do we want to tell everyone this month?" A triggered email asks: "What just happened with this specific guest that's worth responding to?"
The second question produces far more relevant emails, because it starts from the guest's behavior instead of the restaurant's calendar:
A thank-you email after a visit, timed to when the meal is still a fresh memory
A win-back email when a regular's visit pattern breaks — someone who used to come every few weeks hasn't been in for two months
A recovery email after a cancellation or a visit that didn't go well
Why triggered emails perform better
These emails work because they're relevant by construction — the guest receiving a win-back email actually has a lapsed visit pattern; the guest receiving a thank-you actually just visited. That relevance is what a generic monthly newsletter can't replicate, no matter how well it's written.
Why most restaurants don't do this manually
In theory, a manager could review guest visit patterns weekly and send these emails by hand. In practice, it's one of the first tasks to slip when things get busy — which tends to be exactly when a lapsed guest most needs a reason to come back.
What automation changes
Automating triggered emails doesn't change the content of what gets sent — it changes whether it gets sent at all, consistently, without depending on someone remembering to check visit patterns every week. The data needed to trigger each email (last visit date, visit frequency, cancellation status) already exists in your reservation and POS systems.
Regular automates thank-you, win-back, and recovery emails directly from your existing reservation data — restaurant email marketing that's triggered by real guest behavior, not a calendar. See the Follow-Up Emails app.
